The 15-minute ritual that powered my 2 businesses

After 12 years and countless journal entries, I reveal my exact system for strategic journaling.

That’s the standard journaling advice. It’s not wrong—but it’s incomplete.

Most founders quit within a week because they’re missing the strategic element.

For me, writing is thinking. And it gives me clarity.

Over the past 12 years, journaling has been my secret weapon for personal growth and building companies. Each entry turns reflection into clarity, and clarity into better decisions.

When I feel frustrated, I don’t just push through—I use it as a signal. Writing helps me investigate that frustration, uncover its root cause, and turn it into an opportunity for growth.

It’s a daily practice for:

  • Turning reflection into action
  • Spotting patterns in yourself and your business
  • Moving from emotional reactions to strategic responses
  • Building momentum without burning out

The best time to start journaling was when you founded your company. The second best time is today.

This system works because it solves the two things founders struggle with most: how to reflect deeply and how to turn those reflections into action.

Let’s start with your setup:

The 15-Minute Setup That Makes Everything Work

Getting this right is crucial—it’s the foundation for everything that follows.

Start by signing in to Evernote (or any note app with solid search):

  1. Create a “2025” notebook
  2. Start a note with today’s date and day (mine looks like 2/1/2025, Thu)
  3. Copy the daily template below
  4. Save it as a template (In Evernote: Click […] > Save as template)

That’s it. Each morning, create a new note with the date and day and apply your template.

Why Evernote? It gives you powerful search and works across all devices.

Important: Use the exact same date format when you create a new note daily. It unlocks a powerful reflection practice I’ll show you soon.

The Daily Template That Creates Clarity

Below is the exact template I use. It’s a proven framework that’s guided me through thousands of decisions.

Here’s each prompt and why it works:

  1. What did I do yesterday? Think about – What did I learn? How did it feel? What insights did I receive? etc. (Your brain naturally filters the noise and surfaces what matters.)
  2. What am I working on? Think about – What current goals and mindset patterns am I noticing? (What you write repeatedly stays present in critical decisions.)
  3. What’s coming up? Think about – What are the opportunities ahead? What needs preparation? (Spot opportunities and challenges early. No more surprises.)
  4. What are the 3 things I am grateful for today? Think about Opportunities, Insights, People, and anything in general. (Essential perspective for the tough periods of building.)
  5. Today’s focus. Think about – What are my key priorities, and my intention for today? (Set a proactive tone for your day.)
  6. Additional thoughts (Space for those unexpected insights)

Spend 15 minutes each morning with these prompts. Keep it simple. Let each question spark genuine reflection.

Pro Tip: I use Evernote’s tagging feature extensively. My most-used tags include Learning, Insight, Idea, Big Decision, Gratitude, Miracle, and more. Think of these tags as your filing system for key moments.

The Sunday Review: From Daily Insights to Weekly Wisdom

Daily entries give you insight. Sunday reflection shows you the bigger picture.

First, briefly go over the week’s entries and then create today’s note. Then copy my Sunday template to this note:

  1. What energized me this week? Look for meetings, decisions, or activities where you felt most alive. (These are clues to what you should double down and delegate the rest.)
  2. Where did my time and energy leak? Meetings that could have been emails, decisions you’ve been postponing, conversations you’re avoiding. (Use these insights to restructure your upcoming week.)
  3. What patterns keep showing up? Connect dots across team dynamics, client feedback, and your own responses. (This is where unexpected opportunities often hide.)
  4. What needs to shift next week? Choose 1-2 specific, actionable changes based on these insights. Decide what support you need to make them happen. (Small, strategic shifts compound over time.)

Pro tip: Update your daily prompts based on what you discover here. Make the system yours.

​Your Time Machine for Perspective

Remember that consistent date & day format I mentioned in the setup? Here’s where it becomes magical.

When I feel overwhelmed, I type today’s date in Evernote’s search, like “2/1” (without year). It shows me 2/1 for each year since I started writing. Can you imagine reading your life on a single day across 10 years?

These entries never fail to give me perspective. That “impossible” problem from 2022? We solved it and grew stronger.

Looking back reveals your evolution as a leader. You see your growth in decision-making, leadership, and resilience. Your journal becomes proof of your journey.

These time-travels bring the most clarity, especially when things are tough. Seeing how you’ve turned past challenges into progress gives you strength.

Pro Tip: You can search “Sun” and it will show all weekly reflections and your progress. Reading your own growth journey is a lot of fun. I always get a chuckle when I read them.

Building the Habit (The Two-Day Rule)

Following James Clear’s wisdom: You can miss one day, but never two in a row.

Here’s what works:

  1. Time block: First 15 minutes with or after morning coffee
  2. Location: Doesn’t matter—Evernote works everywhere
  3. If you miss a day, add a quick note tomorrow about why
  4. No pressure: It’s your tool, not a performance

Now that you’re all set up, take 15 minutes tomorrow morning to use the template.
